Legal File Cabinets
Legal file cabinets are for those files that contain legal-size paper rather than letter-size. In other words, it is not out of the question to have a drawer width of about 15" or longer so that the width of the file can be accommodated. As for the depth, it can vary based on the type of cabinets you are investing in.
It is important that depth varies. First of all, you may not have room for office or home file cabinets that are 28 inches deep from front to back, but you may be able to accommodate them at 26 inches deep. Having a cabinet that protrudes out too far can result in a hazard. For instance, if it sticks out beyond a piece of office furniture that it is next to, a person can see the other pieces and not the one that is about to trip them or cause them to bang their knee.
Paper size
Letter size paper is 8 ½ inches by 11 inches. Legal paper is 8 ½ inches by 14 inches. The width stays the same, but the length changes. So if you have seen a deed, divorce papers, contracts, or another type of document, you know that you are dealing with this type of paper. You can also see how the length of the paper could cause an issue within letter-size file cabinets.
There are folders that accommodate larger documents. They are long just like the paper is. This prevents you from having to fold the bottom half or top half of the document pages to fit within letter-size file cabinets. You can open up the folder and automatically look at what you need to look at rather than having to wrestle with paper. If there are multiple documents within a single folder, especially of different sizes, folding the paper under can cause the documents to become entangled with one another.
So it is best that you have the right size file cabinets in use within your office. If you have a mixture of letter and legal cabinets, then that is fine because you want to make sure all document types are accommodated accordingly. This will keep you organized and all of your files will be neat within their letter and legal filing cabinets.
As for why it is best to use the folders that are specially designed for the wider style of cabinets, it is because you want the fit to be right. This is especially true when you are using hanging folders. Hanging folders have plastic hooks or hangers on each side. This is so the files do not fall down into the drawers and become buried. The legal filing cabinet is made to where there are tracks for these hooks.
The tracks within the legal file cabinet allow for the easy sliding of the folders so that you can search through them. In most cases, you don't even have to lift the folder out of the drawer to see what is inside. This prevents a file from being misplaced. Due to the size of legal cabinets, the space that is needed is provided and that makes navigating the drawers quite easy.
Enhanced Organization
You will also notice that legal file cabinets have the metal dividers behind the files that allow you to ensure they don't move too much. And there are some who like to store items behind those dividers in order to make use of the unused space. You can more or less do what you want with these cabinets.
When files are extremely important, such as master files for a business, you can opt for a fireproof legal cabinet to keep such files in. Not only are you enhancing your organizational system, but you are also enhancing your security. Both work hand-in-hand to ensuring that everything is in sound shape.
The end result of having at least one legal file cabinet in your office is enhanced productivity. When you are more productive, you can make more money. More money means reaching your return on investment on the file cabinets that you purchased to better your business. You also have employees who feel more secure when they are trying to access the files within your cabinets. When a filing system seems out of sorts, employees can actually dread having to look for folders.
Dread looking for folders within a legal file cabinet can actually affect work performance. Instead of just going and getting what is needed, the complete opposite occurs. So when it comes to a legal cabinet, you know that your employees are going to feel better about what they are doing. And when you have a file cabinet for each size, such as letter-size for letter-sized documents and at least one legal file cabinet for those documents, you're in business. Legal file cabinets make a big difference.
